These Terms & Conditions (“Terms”) govern your use of the My Experience Africa website and your participation in our volunteering and internship programmes in Kenya. By browsing our site, submitting an enquiry, or booking a placement, you agree to these Terms.
1. About My Experience Africa
My Experience Africa organises volunteer and internship placements based in and around Nanyuki, Kenya. Our programmes include Culture & Adventure, Sports Coaching, Childcare & Community, and Medicine & Healthcare. Contact details:

2. Eligibility
- Participants must meet the minimum age for the chosen programme (generally 16 years or older).
- You must provide accurate information on your application or booking form.
- You are responsible for obtaining any required visas, travel documents, and travel insurance.
- We may decline or cancel a booking if eligibility requirements are not met or if information provided is incomplete or misleading.
3. Programme bookings
A booking request is an offer to purchase a programme. Acceptance is confirmed when we send a booking confirmation (by email or other written notice). Programme fees, durations, and inclusions are described on our website and pricing pages and may vary by project and length of stay.
- Start dates and placements are subject to availability with our local partners.
- We may adjust placement details (for example, project site or accommodation) where necessary for safety, capacity, or operational reasons, while aiming to preserve the overall nature of your programme.
- Extra weeks beyond listed packages are charged at the published extra-week rate where available.
4. What is included
Unless stated otherwise on your confirmation, programme fees typically include:
- Accommodation and meals (typically three meals a day)
- Airport pick-up and drop-off as arranged
- Orientation and project placement
- 24/7 in-country support from our local team
Programme fees do not usually include: international flights, visas, travel or medical insurance, personal spending money, optional excursions, or vaccinations. See our pricing page for current details.
5. Payments
Fees must be paid according to the payment schedule shown during booking or in your confirmation. Payments may be processed via third-party providers such as PayPal. Until required payments are received, your place may not be fully secured. Prices are generally listed in USD unless otherwise stated.
6. Cancellations and changes
If you need to cancel or change your booking, contact us as soon as possible at info@myexperienceafrica.org. Cancellation and refund terms depend on how close your departure date is and costs already incurred with partners:
- We will confirm any applicable refund, credit, or change fee in writing after reviewing your request.
- Non-refundable third-party costs (for example, certain deposits or transfers already booked) may be deducted from any refund.
- If we cancel a programme for reasons within our control and cannot offer a suitable alternative, we will refund fees paid to us for the cancelled programme.
- We are not responsible for flight, visa, or insurance costs you incur independently.
7. Your responsibilities
While on programme you agree to:
- Follow local laws, cultural norms, and the guidance of our staff and placement supervisors
- Treat host communities, partners, other volunteers, and staff with respect
- Maintain appropriate behaviour, including around children and vulnerable people
- Arrange adequate travel and medical insurance before departure
- Inform us of medical conditions, allergies, or support needs that may affect your placement
Serious misconduct, illegal activity, or behaviour that endangers others may result in removal from the programme without refund.
8. Health, safety, and insurance
Your safety is a priority. We provide orientation, local support, and emergency protocols. Travel involves inherent risks. You are responsible for obtaining comprehensive travel and medical insurance, seeking medical advice (including vaccinations), and following safety guidance from our team. We are not liable for illness, injury, or loss arising from risks inherent in international travel or volunteering, except where required by applicable law.
9. Travel documents and flights
You are responsible for booking flights and securing any visa required for Kenya. We may provide guidance, but we do not guarantee visa approval. Please ensure arrival details are shared with us in good time so airport transfers can be arranged.
10. Website use
Content on this website (text, images, branding, and programme information) is owned by My Experience Africa or our licensors. You may not copy or reuse it for commercial purposes without our written permission. Do not misuse the site, attempt unauthorised access, or submit harmful or unlawful content via our forms.
11. Limitation of liability
To the fullest extent permitted by law, My Experience Africa is not liable for indirect or consequential losses, including loss of enjoyment, travel disruption caused by third parties, or events beyond our reasonable control (such as natural disasters, political unrest, strikes, or pandemics). Our total liability relating to a booking is limited to the programme fees you paid to us for that booking, except where liability cannot be limited by law.
12. Force majeure
We are not responsible for failure or delay in performing our obligations where caused by circumstances beyond our reasonable control. In such cases we will work with you in good faith on alternatives, postponement, or other fair solutions where possible.
13. Privacy
How we collect and use personal information is described in our Privacy Policy, which forms part of these Terms.
14. Changes to these Terms
We may update these Terms periodically. The “Last updated” date will reflect changes. Continued use of the website or booking of a programme after updates constitutes acceptance of the revised Terms.
15. Governing law
These Terms are governed by the laws of Kenya. Disputes will be handled in good faith first; if unresolved, they may be submitted to the courts of Kenya, unless mandatory consumer protections in your country of residence provide otherwise.
